Who we are

Zicron AI (“Zicron,” “we,” “us”) provides claim-preparation services for medical and disability claims, including SSDI, VA disability, workers' compensation, Medicare Set-Asides, personal injury, independent medical exams, and long-term disability. This Privacy Policy explains what we collect when you use our website and services, how we use it, and the choices you have.

What we collect

We collect information in three categories:

Information you give us. Your name, email, phone number, claim-related details (dates of service, conditions, prior decisions), and any medical, military, employment, or legal records you upload to prepare your claim.
Information collected automatically. Standard web-server logs (IP address, browser type, pages visited), cookies and similar technologies, and marketing-attribution parameters (UTM tags) you may have when you arrive from a campaign.
Information from third parties. If you sign in or upload via a third-party service, we receive only what that service shares with us under their own privacy terms.

How we use it

To deliver the claim-preparation service you purchased.
To send you service-related emails (receipts, secure upload links, status updates).
To improve our services, including evaluating accuracy and quality.
To comply with legal obligations and respond to lawful requests.
To send marketing emails about related Zicron services only if you opt in. You can unsubscribe at any time using the link in any marketing email.

We do not sell your personal information, and we do not share your records with advertisers or data brokers.

Medical and sensitive information

When you upload medical, military, or claim-related records, you are sharing sensitive personal information. We treat this information with the level of care expected for protected health information (PHI), even where Zicron is not itself a HIPAA-covered entity. This includes encryption in transit (TLS) and at rest, role- based access controls for our team, and minimum-necessary use of records solely for the service you requested.

If you are a healthcare provider or covered entity submitting records to us, a Business Associate Agreement (BAA) may be required before we accept those records. Email support@zicron.ai to request one.

Who we share it with

We share information only with:

Subprocessors. Vendors that help us deliver the service — payment processors (Stripe), email delivery, cloud hosting, error monitoring, and analytics. Each is contractually limited to using your data only to provide its service to us.
Government agencies.Where you direct us to prepare a filing package for an agency (VA, SSA, CMS, state workers' compensation board), we will produce that package; you control whether and when it is filed.
Legal compliance. Law-enforcement, courts, or regulators where we are legally required to disclose.
Business transfers. If Zicron is acquired or merged, your information may transfer subject to the same protections in this policy.

How long we keep it

We retain your records for as long as needed to deliver the service and meet our legal obligations (typically 7 years for engagement records, longer if a regulator requires). You can request deletion of records you uploaded at any time, subject to those legal-retention obligations.

Your choices and rights

You can:

Request a copy of the personal information we hold about you.
Request correction of inaccurate information.
Request deletion (subject to legal-retention rules).
Opt out of marketing emails.
Adjust browser settings to limit cookies (this may affect site functionality).

California residents have additional rights under the CCPA/CPRA, including the right to know, delete, correct, and opt out of any sale or sharing of personal information. We do not sell or share personal information for cross-context behavioral advertising.

Security

We use industry-standard administrative, technical, and physical safeguards to protect your information, including encrypted connections (TLS 1.2+), encrypted storage, principle-of-least-privilege access, and audit logging. No system is perfectly secure; if we ever experience a breach affecting your information, we will notify you in line with applicable law.

Children

Our services are not directed at children under 13, and we do not knowingly collect information from them. If you believe a child has provided us information, contact us and we will delete it.

Changes to this policy

We may update this Privacy Policy as our services evolve. The “Last updated” date at the top will reflect the most recent change. For material changes, we will notify you by email or through the service.
